Privacy Summary

Thera Sanctum ("we", "us", "the clinic") collects and uses your personal and health information only to provide safe, personalized naturopathic and herbal medicine care, and to manage the administrative side of that care.

What we collect: contact details, health history, lifestyle information, and other details you provide in this questionnaire or during consultations.

Why we collect it: to assess your health, plan and provide treatment, manage billing and appointments, and follow up on your care.

Who can access it: only authorized clinic staff involved in your care or its administration. We do not sell your data or share it with third parties for marketing purposes.

Where it's processed: your questionnaire responses are transmitted securely and stored by our form-processing provider before reaching our clinic email. We retain your data only as long as needed for your care and as required by Singapore law.

Your rights: you may ask to access, correct, or withdraw consent for use of your personal data at any time by contacting us at hello@therasanctum.com. Withdrawing consent may limit our ability to continue providing care.

Data Protection Officer: John Tang, contactable at hello@therasanctum.com.

PDPA Terms (Singapore)

This notice explains how Thera Sanctum handles your personal data in accordance with Singapore's Personal Data Protection Act 2012 (PDPA).

Consent. By submitting our questionnaire, you consent to Thera Sanctum collecting, using, and disclosing your personal data — including health-related information — for the purposes described below. If you are located outside Singapore, this consent also covers processing necessary to provide you with care from a Singapore-based clinic, and we aim to handle your data in line with commonly expected data protection standards regardless of where you are based.

Purposes of collection, use and disclosure:

  • Assessing your health and planning appropriate naturopathic/herbal care
  • Providing consultations, including telehealth where applicable
  • Administrative purposes: billing, scheduling, and follow-up communication
  • Complying with legal or regulatory obligations

Sensitive data. This questionnaire asks about health conditions, medications, and in some cases reproductive or mental health history. We treat this information with particular care and limit access to staff directly involved in your treatment.

Retention. We retain personal data only for as long as necessary to fulfil the purposes above, or as required by law, after which it is securely deleted or anonymized.

Your rights under the PDPA: you have the right to access the personal data we hold about you, request correction of inaccurate data, and withdraw your consent at any time (subject to legal or contractual restrictions). To exercise these rights, contact our Data Protection Officer at hello@therasanctum.com.

Complaints. If you have concerns about how we handle your data, please contact us first. You may also refer complaints to the Personal Data Protection Commission Singapore (PDPC) at www.pdpc.gov.sg.

Data Protection Officer: John Tang, hello@therasanctum.com.

Cancellation & Refund Policy

Cancellations. Appointments cancelled with less than 24 hours' notice may incur a cancellation fee. We understand emergencies happen — contact us as soon as possible if something comes up, and we'll do our best to accommodate you.

No-shows. Missed appointments without prior notice will be treated as a late cancellation and may incur the same fee.

Refunds. Prepaid consultations or remedies may be refunded per clinic policy, subject to an administration fee. Refund eligibility depends on how far in advance the cancellation is made and whether any services or products have already been provided.

Exceptions. We're happy to discuss exceptions or urgent changes — please reach out to us directly at hello@therasanctum.com.
